ASAC Privacy Statement

1) Collection:

ASAC Group will only collect information that is necessary for performance of functions.

2) Use and Disclosure:

ASAC Group will only use and disclose information for the primary purpose for which it was collected. Any secondary use of information would have the consent of the client.

3) Data Quality:

At ASAC Group we will endeavour to make sure personal information is complete, accurate and up to date.

4) Data Security:

ASAC Group will at all times, take reasonable steps to protect personal information from misuse, loss, unauthorised access, modification or disclosure.

5) Openess:

ASAC Group Documents have clearly expressed policies on management at personal information and will provide the policies to anyone who asks.

6) Access and Correction:

ASAC Group believes individuals have a right to seek access to their information and make corrections.

7) Unique Identifiers:

ASAC Group limits the adoption and sharing of unique identifiers.

8) Anonymity:

If lawful and feasible, ASAC Group will give individuals the option of not identifying themselves when entering transactions.

9) Transborder Data Flow:

ASAC Group will take all reasonable steps to limit and restrict transfer of personal information outside Victoria.

10) Sensitive Information:

ASAC Group will not collect sensitive information for the primary purpose the company's own records.



Store, Protect & Disposal Guidelines

Store

- Short Term
 

  • Frequently accessed information to be held in on-site safes (fireproof)
  • Fire, flood and smoke protection systems in place.
  • All electronic information is stored accordingly and backed up on disc with a copy held off-site.
  • All perishable items/evidence to be stored in temperature and access controlled environment.

- Long Term
 

  • Secured off-site facility with limited access of ASAC Group employees.
  • Static guards patrolling facility.
  • Electronic detection and closed circuit TV monitored 24/7
  • Fire, flood and smoke protection system in place.
  • All hardcopy information/evidence including photographs are backed up to the appropriate discs and stored in a secure facility.
  • A control register is kept on site to record all information/evidence movement.
  • All information filed is labelled accordingly by limited ASAC Group employees


Protect

- Hard Copy
 

  • Fire, flood and smoke protection system in place.
  • Video surveillance (CCTV)
  • Fully lockable facility where any information/evidence is stored or kept.
  • Fully controlled temperature in both on and off-site facility.
  • Fireproof safes.
  • Regular cabling maintenance procedures in place.

Disposal
 

  • ASAC Group will obtain written consent before disposal of any information/evidence.
  • Shredding by out-sourced secure shredding service (police check approved).
  • Incineration of computer and magnetic tapes.
  • Physical destruction of any other information/evidence.
  • Any access to information by unauthorised person will be denied.
  • All documentation will be delivered to the client in person, therefore maintaining privacy and avoiding any loss in the postage process.
  • All employees of ASAC Group have security pins to provide access to facility, which are changed on a regular basis.
  • Disposal of all information/evidence will be overseen by the company director of ASAC Group.
  • All employees of ASAC Group regularly undertake security awareness training programmes.
  • All storage, protection and disposal guidelines set out in this document comply with all relevant industry codes of practice and in accordance with all relevant state legal and environmental requirements.
